Hook
Reference something specific — niche, business type, or a pain common in their category. Not a compliment. A signal that you're in the space.
Step 02
Problem
Name the problem they're most likely experiencing. Be specific. The more precisely you name it, the more they assume you understand their world.
Step 03
Question
Ask a single, open question that relates to the problem. Not rhetorical. You want an answer. Questions get replies. Statements don't.
Step 04
Solution
Only if they reply. One sentence on what you do — not features, not packages. The outcome you deliver. Triggered by their response, not your schedule.
Step 05
CTA
One clear ask. 15-minute call. Not "let me know if you're interested." Specific time request or a Calendly link. One option. No alternatives.

Follow-Up 1
Single soft bump. Feed check or no-pressure close. One sentence maximum. If they reply here, treat as warm — move to First Message reply flow. Log: Contacted (FU1).
Day 8 — if no reply to FU1
Follow-Up 2 — Soft CTA
Lead with value (result, pilot offer, or relevant case study). One soft ask. Do not use guilt language. This is the last value-add touch before final. Log: Contacted (FU2).
Day 12 — if still no reply
Final Touch or Archive
Option A — Final touch: "Last message from me — if this ever becomes relevant, I'm easy to find. Good luck with everything [name]."

Option B — Silent archive: No message. Just tag CRM: Archived. Revisit in 30+ days with a completely new angle.

After this: no more messages. 4 touches is the hard ceiling.
When AI stops. When human takes over.
Trigger Flag Action
Pricing or budget mentioned 🔴 Red Immediate human takeover. Do not respond with pricing in chat. Reply: "Good question — let me give you the full picture on a quick call. 15 minutes?" Then book the call. Move CRM to Call Booked.
Mentions current agency or supplier 🔴 Red Escalate. High-intent signal. Human responds: ask what they're not getting from current supplier. Don't position against them — let the prospect do it. Do not pitch yet.
Call requested directly 🔴 Red Immediate human takeover. Confirm the call, send Calendly or time options within 1 hour. Do not let an AI confirm or handle scheduling logistics.
"Tell me more" + follow-up question 🟡 Amber AI responds once with a single, clear answer. Then escalates to human: "I'd love to show you more on a quick call — does [day] or [day] work?" Human takes over from here.
Two replies, no CTA resistance 🟡 Amber AI sends call ask. If prospect says yes → human takes over immediately. If no reply within 24h → follow-up logic resumes. Log: Call Booked or Contacted (warm).
Objection: "Not the right time" 🟡 Amber AI responds: "Totally — I'll check back in next month." Tag CRM: Follow-up 30d. Human sets a manual reminder. No automation. Real human outreach at 30 days.
No reply after 3 touches 🟢 Archive AI archives. Tag CRM: Archived. No 4th message. Human reviews archived list monthly — reactivate with a completely new angle if timing may have changed.
